General Rental Terms & Booking Information

Inquiries, estimates and confirmed bookings

Build Your Estimate and Request a Quote help you explore options and request availability. An inquiry or preliminary estimate does not reserve an event date, confirm availability, make a payment or sign a rental agreement.

A confirmed booking requires Orlando Elite Decor's confirmation of the booking details, the separately provided signed agreement and the required payment. The full Rental Agreement is supplied separately; it is not signed through this website.

Deposit and balance

The booking deposit is 50% of the confirmed order total. The remaining balance is due no later than one day before the event. The confirmed quotation and separate agreement record your items, services, schedule and agreed charges.

Cancellation and deposit refunds

Cancellation 45 days or more before the scheduled event, including exactly 45 days before it, is eligible for a refund of 50% of the deposit paid. Cancellation less than 45 days before the event is not eligible for a deposit refund. A booking made less than 45 days before the event does not qualify for a deposit refund if canceled.

For example, an order total of $1,000 requires a $500 deposit. The eligible early-cancellation refund is $250, subject to the custom-production exception below. This is 50% of the deposit, not 50% of the order total.

Custom Vinyl production

Custom Vinyl Dance Floor materials are produced for individual events. Once custom printing or production has begun, actual, documented, non-recoverable printing, material and production costs are non-refundable, including when cancellation occurs 45 days or more before the event.

For cancellations qualifying for the standard early-cancellation refund, the refund is MAX(0, 50% of the deposit paid minus actual, documented, non-recoverable Vinyl production costs not already recovered). Only those production expenses may be deducted; the same expense must never be recovered twice and the refund cannot be negative. This exception and the production costs must be clearly disclosed and confirmed before booking. Applicable law and existing signed contractual terms must be reviewed if they conflict with this calculation; this provision does not silently override them.

Outdoor weather and installation safety

Orlando Elite Decor may refuse installation, stop work or remove unsafe decorations when rain, strong winds, thunderstorms or other dangerous weather conditions create a safety risk. Conditions must remain safe during setup, the event or rental period, and removal.

No refunds are issued when weather conditions prevent safe installation on the scheduled event date, subject to applicable law.

A move to a safe indoor or covered location may be considered individually only if the client has arranged a suitable alternative with the venue in advance, Orlando Elite Decor approves that location, and safety, access, availability and installation time permit the change. Relocation is not guaranteed. Weather does not automatically entitle a client to a refund, complimentary relocation or postponement.

Force majeure and postponement

Force-majeure-related postponement may be considered without an additional postponement fee. A new date, within a postponement period of up to six months, requires mutual agreement and availability. Any additional expenses require individual agreement.

If postponement is impossible, potential refunds are considered individually based on completed work and documented incurred expenses. Custom Vinyl already produced remains subject to the non-refundable production-cost policy above. A force-majeure postponement is distinct from cancellation and from unsafe weather preventing installation on the scheduled event date. Rescheduling and refunds are not automatic or guaranteed.

Delivery, setup, removal and pickup

Customer self-pickup is not available. Orlando Elite Decor handles delivery, setup, removal and pickup as agreed. Venue access, parking, loading, unloading, additional trips and multiple locations may require individually agreed charges.

Preliminary delivery and pickup calculations use Google Maps driving-route distance, not straight-line distance. The first 10 one-way driving miles include delivery and pickup. For one-way distance D in miles, the delivery and pickup calculation is max(0, 4 × D − 40) × $1.25, covering four one-way journeys. Delivery is charged once per event and address; additional trips or addresses need individual confirmation.

The minimum eligible order starts at $450 within 10 one-way driving miles and increases by $100 for each additional 10-mile range: $450 + $100 × ceil(max(0, D − 10) / 10). This is an eligibility threshold, not an automatic surcharge. Route-dependent amounts remain Pending Confirmation until the route is verified; an unavailable calculation is not a zero charge.

Eligible decor rentals, approved platforms and installation count toward the minimum. Vinyl material or printing, removal and delivery do not. Rental discounts apply only to eligible decor rentals: 10% at $1,000, 15% at $2,000 and 20% at $4,000, using only the highest applicable rate. Vinyl, platforms, installation, removal and delivery are excluded from discount amounts and thresholds.

Rental schedules and venue arrangements

The standard one-hour rental applies to Proposal Decor and Romantic Picnic, beginning immediately after setup is completed. It does not automatically apply to Wedding Decor or Vinyl Dance Floor; those schedules are determined individually.

Venue permission, access and installation arrangements must be confirmed for the agreed service. Vinyl requires venue permission and review of floor or surface suitability. Unsupported dimensions, platform requirements and special conditions need an individual quotation.

Changes and additional services

Extended waiting time, relocation of decorations, changes to the agreed setup, additional installation or removal labor, and additional trips or services may incur separately agreed charges. Additional services and their fees must be discussed and agreed upon individually; no fixed waiting-time or relocation price is established here.

Clients, guests and venue staff are not permitted to move, rearrange or alter installed decorations without Orlando Elite Decor's authorization.

Care of rented items, damage and cleaning

Clients must take reasonable care of rented decorations and equipment. Damage, lost or missing items, unauthorized movement or alteration, and damage caused by clients, guests or venue personnel may result in charges where the client is legally responsible. Normal wear and tear is excluded.

Reasonable, documented repair, replacement or additional cleaning charges may apply. This includes excessive dirt, candle wax, stains, adhesive residue and other materials requiring special cleaning. Any additional charges will be communicated to the client. No fixed penalties are established here.

Inspiration photographs and separate documents

Inspiration photographs are used privately to prepare estimates and plan events. Submission does not authorize public or marketing use without separate permission. The Privacy Notice explains information handling. Website Terms of Use concern website use; the separately supplied Rental Agreement records the confirmed rental arrangements. Nothing here excludes rights or obligations that cannot lawfully be excluded.
